How to Plan Software Projects Around Business Busy Season

We have all watched a clerk mention year-end close, then watched the date get published anyway. The Friday did not move. The people did.

Business busy season is not a risk to note after scheduling. It is the calendar the schedule has to survive. I have watched teams place user testing inside year-end close, mark attendance as an assumption, and later describe the empty session as a stakeholder problem.

Planning is what comes first, what is blocked, and what the first release will actually include. A footnote is none of those. I have funded beautiful dates. I have rarely seen them survive the first missing training hour.

Stop publishing the Friday before the constraint exists

If no one can name the first-release result in the requester’s language, you do not have a plan. You have a countdown that ignored the people who have to live it. Countdowns create overtime, then blame. The label changes; the planning gap does not.

Sequence around the operating calendar, not over it. software project planning should show what can finish before close, what must wait, and who owns the handoff.

Bring hidden dependencies into the conversation

Year-end close, legal review, and the clerk who is the only trainer are not side notes. They are scheduling facts. Put them beside the request and make every proposed date answer to them. A credible plan also shows whether the team is already at full capacity, because moving the same people twice does not create another week.

Use requirements gathering software to keep year-end close and other operating constraints attached to the request. If the date changes, the affected department should be able to see exactly why.

Finish with an observable result

I have signed off on launches that hit the date and missed the week because the trainer was in close. The ticket closed. The workaround stayed. That is not delivery. That is filing.

The complete delivery path is described in How to move software projects in real English. At release, ask whether the work survived busy season and changed the requester’s Friday. If the plan cannot answer both, the side note was actually the plan.
